Media Services Equipment Check-out Agreement

General information

A Gustavus Adolphus College 3 Crowns Card is required when checking out equipment from our office. A Media Services employee will ask for your ID and use this web-based system to check out reserved equipment to you. All equipment is to be picked up and returned to Room 032 in Olin Hall during regular business hours. Please do not leave equipment unattended outside our door in the event the office is closed. Bring the equipment to Technology Services, located on first floor Olin Hall. All equipment checked out under your name is your responsibility, regardless of who uses it.


Equipment can be reserved on a first-come, first-served basis. All equipment must be reserved in advance through our website ( before it can be checked out. Reservations can be made from any computer connected to the Internet.

Fair access policy

Media Services has a limited supply of check-out equipment, so "fair access policies" must be used. In particular, these policies make sure all students have equal access to equipment required for their coursework. Policies are determined by: role at the College, course enrollment, and equipment being reserved.

Check-out rights termination

Media Services may suspend your ability to check out equipment if your usage history interferes with the abilities of others to access equipment, or if you have outstanding fines. Media Services reserves the right to terminate your ability to reserve or check out equipment at any time.

Check in/out times

Late fees

Media Services will assess a $15 late fee per reservation when equipment is not returned by the end of the check-in period on the due date. Additional late fees will be assessed for each business day that the equipment is not returned. Late fees are charged in addition to usage fees.

If special circumstances arise and you cannot return equipment on time, please let us know and we would be happy to work something out.

Usage fees

Some items may incurr a usage fee which is charged daily. You will be notified if you reserve items requiring a usage fee. All potential fees will first be verified by a Media Services supervisor before being billed to you (or your department.)

Damages and missing items

You are responsible for all damages (beyond normal wear-and-tear) and missing equipment. The replacement charge for an item will be an amount equal to the total replacement cost of the item. The charge for the repair of a damaged item may be an amount up to the replacement cost of the item. An additional non-refundable processing fee of up to $200 may also be charged.

Assessment of fines

You will be contacted via e-mail by Media Services regarding any damages, missing equipment, late fees, or any other fines. Additional information regarding your situation and any required action on your part will be included in that email. You may pay outstanding charges at the Media Services office. You may request that these charges be forwarded to your student account. All charges that are accrued as a result of violations of these policies will be sent to the College's Finance Office if not acted on as requested, and will prevent you from registering for classes or obtaining a diploma/transcript until paid in full.
